Admin Professionals: A Story Of Extraordinary Dedication to Sustainability

I feel the warmth of the sun’s rays shining through my office window and it’s like a weight is lifted from somewhere deep within my shoulders. There’s just something about spring that makes me feel rejuvenated. Perhaps it’s the way the change of season inspires a fresh start – or it could just be the extra Vitamin D, which we have all been missing out on this winter. Either way, there is definitely an extra spring in my step today.

It might also have something to do with the meeting I have this morning with Martha, our intern who was recently promoted to administrative assistant. Martha has been actively pursuing green opportunities for the office ever since she started here. She has already driven a lot of change, especially considering she’s worked here for just over one year now. Today I want to make sure she knows her efforts are recognized.

With that, I hear a light knock on my door. “Come in,” I call out.

Martha walks in wearing an enthusiastic grin and clutching a recycled notebook to her chest.

“Good morning, Rona,” she says.

“Morning Martha, take a seat,” I gesture towards the chair across from my desk.

She sits down, opens her notebook to a fresh page and retrieves a retractable ballpoint pen – made of water bottle waste plastic – from her pocket.

“You won’t be needing to take any notes today, Martha,” I say, as a slightly mischievous smile spreads across my face.

Martha looks slightly confused. “Oh, okay,” she says.

Here comes the fun part.

“You know, you have been doing some really great things for our environmental program,” I say.

She looks at me curiously.

“You’ve trained all of the employees here to be much more conscientious of their recycling efforts. You’ve taken initiative and helped us gradually replace the majority of our products with those made of previously recycled materials. There’s no question you’ve lead us to make some substantial changes in reducing the business’ carbon footprint.”

Martha’s cheeks take on a slightly rouged tint. “I enjoy doing it,” she says. “It’s something I’m passionate about.”

“I understand that, and I called you in here today to let you know we all appreciate your keen attitude and your hard work.”

I pause for effect.

“That being said, we’d like to take the opportunity to show you just how much we value your efforts. In celebrating both Administrative Professionals Day and Earth Day, we have decided to upgrade your desk with the Bamboo Desk Set from this month’s Office Plus Flyer.”

Martha beams in excitement.

“Everything is made from environmentally preferred materials…” I start to explain.

“Yes, I know. I saw it today!” She interrupts. “Wow, thank you, that’s great.”

I nod. “You’re very welcome. That’s not all though. We’re also offering you a raise.” I take the envelope out from my top desk drawer and slide it towards her.

We take some time to discuss her pay increase in more detail, and as our meeting comes to an end she stands up to shake my hand. “I hope you know this is only the beginning,” she says. “I still have so many ideas to talk to you about.”

“I’m glad to hear it,” I reply. “We have some big plans for you, too.”

With that, she heads out of my office and I can’t help but notice a bit of an extra bounce in her walk. I sit back down in my chair by the window, looking out at the garden view. I really do love this time of year.

Happy Administrative Professionals Day 2014

Making Technology Work With You Rather Than Against You

I steal a glance at the digital clock on the top right hand corner of my computer screen. It reads 7:45pm. What a long day. I’m just putting the final touches on my PowerPoint presentation for tomorrow when I hear a faint, repetitive clicking noise. I look at the screen and see a long line of the letter “F” trailing across the slide titled Opportunities for Growth.

I start swatting at the keyboard in a panic, repeatedly hitting the key to try to get it unstuck. After about five solid attempts, it finally breaks lose, the small black square popping right out of its position in the middle row.

Errrgh.

I reach for the computer mouse in attempt to highlight and remove the unwanted text, but the mouse resists, pulling back in a quick, jerky motion. I yank it towards my body, trying to get some more slack, only to realize the wire is tangled up in one large knot behind my desk.

Well, isn’t this just wonderful!

Why is it that technology always chooses to fail at the most inopportune times?

Patience is not a quality often found in my repertoire. Rather than fighting it, I decide to save the document to a USB so I can finish it on my laptop at home. It’s going to be a late night.

Broken Computer Accessories

I start packing up my briefcase when I notice the March Office Plus flyer sitting at the edge of my desk. Andy must have dropped it off when I was out grabbing my fifth coffee of the day.

I pick it up and begin leafing through the pages, only to fall back into my desk chair with a loud sigh. That’s when the Comfort Curve Keyboard and Wireless Mobile Mouse catch my eye.

The truth is, I’m long overdue for an update in the computer accessory department. I imagine how much more efficient my day would have been if I had the proper tools to get my work done. It’s almost as though I hear Andy’s encouraging voice in my ear, telling me how the ergonomically-friendly keyboard would not only boost my comfort level but also my typing performance. Not to mention, the wireless mouse would work with both my desktop and laptop.

I do spend a lot of time in front of the computer, I say aloud, agreeing with the imaginative Andy in my head. Proper office ergonomics improve quality of life.

All right Andy, I’m convinced! I call out to the empty office. I dog-ear the top right corner of the flyer page and lay it on top of my broken keyboard so I remember to make an order first thing tomorrow morning.

For now, I have a presentation to finish, in addition to the laundry to fold, dishes to clean, the kids’ lunches to pack. Maybe my keyboard really was trying to tell me something. If I had to grade my productivity today, it would receive a big, ugly “F”.

My mind flashes back to my university days, when the only letters I saw staring back at me were the two leading the alphabet. I’m definitely in need of a change. Fortunately, with a little help from Office Plus, I’m confident I’ll turn those “F”s into “A”s in no time.

Motivating Your Team Through Employee Recognition

I settle in at my desk and hold my hands up to the portable heater resting on the floor to my left. This polar vortex reminds me of my first boyfriend back in the eleventh grade; it just won’t let up. It takes me a solid 30 minutes to get my body to heat up every morning after my cold and windy commute. Today feels no different.

Between the head congestion and the roar of my little old heater I don’t hear the knock at my door. My boss, Aditi, lets out a muffled cough. I look up to see her tight blonde curls peeking through the doorway. “Have a minute?” She asks.

“Of course.” I turn the heater down a few settings to soften the hum and swipe the pile of Kleenex off my desk and into the garbage bin.

She walks over and takes a seat across from me. “I’d like to try something new this year to motivate our team,” she says.

I nod, unsure of where this is going. My mind flashes to the last “team outing” we had back in the fall, when we went rock climbing at The Pad just two blocks from the office. I’ll never forget the panicked look on Andy’s face as his footing slipped and suddenly he was hanging upside down. Who knew that was even possible, what with the harness and ropes and all the safety precautions? Only Andy.

“I’d like to figure out some sort of approach for employee recognition,” Aditi says. “We’re working on some exciting projects right now and I foresee some impressive success stories.”

I wait for her to continue, but am greeted only with a long pause – a clear indication she’s anticipating my response.

Caught off guard, I grab this month’s Office Plus flyer sitting beside my keyboard. “Ah good idea,” I tell her. I nonchalantly flip through the pages, suddenly craving a second coffee to help thaw my brain. Then I get to page 4 and something catches my eye.

“What if we offered a subtle incentive?” I say, the warm rush of ideas suddenly flushing through. “We could make a little announcement and present the employee with a certificate recognizing his or her success.”

Employee Recognition Certificate

Aditi locks eyes with me and I suddenly worry it sounds too third grade. Then I remember a conversation with Marsha about a recent study she read.

“Not like a gold star or anything,” I continue, “just something tangible – representing what the employee and the company have achieved together. I think it could have a really positive impact. It’s important to help employees see their hard work is meaningful and that it contributes to our overall success.”

“That’s fantastic,” she says. “I could throw in a gift card too – to a local restaurant or something.”

I let out a small smile, silently thanking the Office Plus flyer for coming to the rescue once again. “That sounds lovely.”

Aditi gets up to leave, wearing an excited grin on her face.

I roll my chair back over to the heater and hit the off switch. Warm ups are over. Feeling motivated, I open the big client project with the crazy deadline I’ve been working on. I have a St. James Company Certificate to earn.
